Services FAQ - AI Implementation Questions

Common questions about our AI implementation services, from enterprise deployment to ongoing training and expert support.

General Questions

How long does a typical enterprise AI deployment take?

Our complete enterprise AI implementation program runs 14-21 weeks and covers strategy, procurement, technical setup, change enablement, and workforce training. However, we offer modular engagements, you can start with just change enablement (8-12 weeks) or training (4-8 weeks) if you've already deployed your AI platform technically.

Which AI platforms do you support?

We have deep expertise across the leading enterprise AI platforms, including Claude by Anthropic and ChatGPT by OpenAI. We also support multi-platform strategies where different teams or use cases are best served by different platforms. Our methodology is platform-agnostic, so we recommend what's right for your specific situation rather than pushing a single vendor.

What's the difference between your services and AI consulting firms?

Traditional consultancies deliver reports and recommendations, then leave. We're an AI-enabled services business, combining expert human delivery with platform technology for ongoing partnership. You get immediate access to AI Accelerators (ready-to-use templates and assistants), Expert Request delivery (custom prompts, assistants, training), and strategic guidance. We don't just tell you what to do; we provide the templates, build the solutions, and stay with you as your permanent AI extension team.

Can we start small and expand later?

Yes! Many clients start with our AI Training programs to build internal capability, then add AI Accelerators to give their teams ready-to-use templates and assistants. As they identify custom needs, they expand to Expert Requests for bespoke development, and eventually add Change Enablement for organization-wide transformation. Our modular approach lets you invest based on your current priorities and scale as your AI maturity grows.

AI Implementation

What's included in the complete AI Implementation program?

Our flagship implementation includes four integrated modules: (1) Strategy, Procurement & Governance, aligning leadership and securing enterprise AI licensing; (2) Technical Deployment & Integration, configuring your workspace, SSO, and system connectors; (3) Change Enablement & Workforce Adoption, building your AI Ambassador network and communications strategy; (4) Structured Training & Ongoing Optimization, delivering AI 101/102/201 curricula, AI Accelerators library access, and Expert Requests support.

Do you help with platform procurement and vendor negotiations?

Yes. We guide you through platform selection and tier decisions (e.g., ChatGPT Enterprise vs Business, Claude Enterprise vs Team), help evaluate vendor proposals, assist with contract negotiations, and ensure you get the right licensing for your organization size and use cases. We've helped dozens of organizations navigate enterprise AI procurement.

What happens after the initial deployment is complete?

Post-deployment, most clients continue with a combination of our services: AI Accelerators provide your teams with ready-to-use templates and assistants for immediate productivity, Expert Requests deliver custom assistant development and prompt engineering for specific needs, ongoing training sessions onboard new hires and cover feature updates, and quarterly optimization reviews measure adoption and identify new opportunities. Think of us as your permanent AI extension team.

How do you measure deployment success?

We track multiple success metrics: daily active users and engagement rates, AI prompts per user per week, custom assistant creation and usage, time-to-value for key use cases, employee sentiment surveys, and department-specific productivity improvements. You'll get executive dashboards showing adoption trends and ROI metrics for board reporting.

Change Enablement

What's the difference between Change Enablement and Training?

Training teaches individuals how to use AI tools. Change Enablement transforms organizational culture and behavior. Change Enablement includes executive alignment, organization-wide communications, AI Ambassador programs, stakeholder management, recognition systems, and continuous optimization, everything needed to shift from 'employees have access' to 'employees actively use AI daily.' Training is one component within the broader change initiative.

How many AI Ambassadors should we have?

We recommend 5-10% of your workforce as AI Ambassadors, champions who receive advanced training and become peer-to-peer influence agents. For a 1,000-employee organization, that's 50-100 ambassadors distributed across all departments. These champions get extra training on prompting, assistant creation, and use case development, plus access to our full AI Accelerators library to share proven templates and assistants with their colleagues. They then support peers and spread best practices organization-wide.

What does the communication strategy include?

We develop your complete AI communications framework: executive messaging for all-hands meetings, department-specific rollout announcements, success story templates, resistance mitigation messaging, regular newsletter content, Slack/Teams channel strategies, and leadership talking points. Everything is tailored to your brand voice and organizational culture.

How do you handle employee resistance to AI adoption?

Resistance typically comes from fear of job loss, feeling overwhelmed, or not seeing personal benefit. We address this through transparent communication about AI as an augmentation tool (not replacement), showcasing quick-win use cases that make work easier with ready-to-use AI Accelerators, celebrating early adopters publicly, and ensuring leadership models AI usage visibly. Giving employees proven templates and assistants removes the 'blank screen intimidation' and demonstrates immediate value. Our change management framework specifically addresses the human psychology of AI adoption.

AI Training

What's the difference between AI 101, 102, and 201?

AI 101 covers foundations, current model tiers, basic prompting, tools (web search, document collaboration), and responsible usage. We introduce AI Accelerators so participants immediately have ready-to-use prompts and templates. AI 102 teaches advanced research, using AI as a thinking partner, creating collaborative workspaces and custom assistants, and enterprise integrations. AI 201 is role-specific deep training (3-4 hours) covering data analytics, custom actions, and building immediately applicable use cases for specific job functions like marketing, finance, or sales.

Do you offer virtual training or only in-person?

We offer both. Virtual training works well for AI 101/102 foundations and can scale to hundreds of employees simultaneously. In-person training is ideal for AI 201 role-specific workshops, executive sessions, and Train the Trainer programs where hands-on practice and real-time coaching deliver better outcomes. Most clients use a hybrid approach, virtual for foundations, in-person for advanced applications.

Can you create custom training for our specific industry?

Absolutely. While AI 101/102 cover universal foundations with AI Accelerators for immediate application, AI 201 and our executive programs are completely customized to your industry, use cases, and workflows. We combine industry-specific training with tailored Accelerators (prompts, assistants, templates) so your teams have both knowledge and ready-to-use tools. We've delivered specialized training for manufacturing (supply chain optimization, quality control), healthcare (clinical documentation, patient communication), professional services (client deliverables, research), and more.

How do you train executives who 'don't have time' for training?

Our 'AI for Leaders' executive program is designed specifically for time-constrained leaders. It's a focused 90-minute session covering strategic scenario planning, AI-assisted hiring, executive coaching applications, and building custom assistants for team development. We schedule around executive calendars, often running sessions during breakfast or lunch, and immediately demonstrate time-saving applications relevant to their specific roles.

What's included in the Train the Trainer program?

Train the Trainer develops your internal AI Ambassadors into expert trainers who can deliver AI education independently. It includes advanced prompt engineering, training delivery skills, change management techniques, troubleshooting and peer support capabilities, internal certification program development, and building sustainable learning culture. This creates long-term internal capability beyond our engagement.

Expert Requests

How do Expert Requests work?

Expert Requests provide pre-contracted access to our AI specialists for prompt engineering, custom assistant development, integrations, and training delivery. You submit a request through the platform, book a strategy call with your AI Strategy Director within 36 hours to refine requirements, and receive professional delivery in 7-14 days. No SOWs, no procurement delays, just immediate access to expert implementation capacity.

What's the typical turnaround time for Expert Requests?

Simple requests (individual prompts, basic assistant creation) typically deliver in 3-5 days. Complex requests (custom actions, multi-step workflows, training sessions) take 7-14 days. We guarantee 36-hour response for strategy call booking and provide delivery timelines upfront. If urgent, we can prioritize critical requests with premium support.

Can Expert Requests build custom integrations with our systems?

Yes. We build custom actions that connect AI assistants to your business systems via APIs, create custom connectors for enterprise tools, develop multi-step workflow automations with simple user interfaces, implement API solutions for specialized use cases, and integrate AI into existing business processes. If your system has an API, we can usually connect AI to it.

How many Expert Requests do I get?

Expert Request quotas vary by plan: Kowalah Essential includes 12 Expert Requests per quarter, Executive includes 24 per quarter, and Enterprise includes 36+ per quarter with custom scaling. Unused requests don't typically roll over, encouraging regular engagement and continuous improvement. Think of them as your ongoing AI development capacity.

What if we run out of Expert Requests?

If you exhaust your quarterly allocation, you have three options: upgrade to a higher tier with more requests, purchase additional one-off requests, or wait for the next quarter's allocation. Most clients find the right plan within 2-3 months as usage patterns become clear. Our strategy calls help you prioritize requests to maximize value within your allocation.

AI Accelerators

What exactly are AI Accelerators?

AI Accelerators are ready-to-use templates, frameworks, and implementation guides that eliminate the 'blank screen problem' with AI. Instead of figuring out what to build from scratch, you get 50+ proven solutions, prompt libraries, pre-built assistants, training materials, governance templates, that you can copy and deploy immediately. Think of them as instruction manuals showing you exactly what's possible before you start.

Do I need technical expertise to use Accelerators?

No. Every accelerator includes step-by-step guidance designed for business users, not developers. Prompt libraries are copy-and-paste ready, pre-built assistants deploy with simple setup instructions, training materials are presentation-ready, and governance templates are fill-in-the-blank. If you can use AI, you can implement our accelerators.

Are Accelerators included in all plans?

AI Accelerators are available on Kowalah Digital, Essential, Executive, and Enterprise plans. Free plan users can preview the library and see what's available, but need to upgrade for full access and downloads. Think of them as the 'implementation Lego kit' that shows you what to build with your AI deployment.

How often are new Accelerators added?

We add new accelerators monthly based on successful implementations across our client base, emerging AI features and capabilities, user feedback and improvement suggestions, and industry-specific best practices. When users discover better approaches, we update existing accelerators and add new ones. You always get the latest versions automatically.

Can Expert Requests customize Accelerators for our organization?

Absolutely! This is one of the most powerful combinations. Accelerators provide the foundation and best-practice starting point, then Expert Requests customize them for your specific workflows, brand voice, data sources, and organizational needs. For example, start with our 'Sales Objection Handling' accelerator, then use an Expert Request to load it with your product knowledge and customize it for your sales process.

Pricing & Investment

How much does enterprise AI implementation cost?

Enterprise AI Implementation ranges from $32,000 to $95,000 depending on organization size and complexity (pricing available in USD, GBP, EUR). This one-off investment covers strategy, procurement, governance, technical setup, and initial training. Most organizations also invest in our Change Enablement Program ($160 per employee) to transform workforce adoption. For example, a 1,000-employee organization typically invests $192,000 total ($32,000 deployment + $160,000 enablement). We provide fixed-price proposals after a free 60-minute consultation so you know costs upfront.

How does payment work for your services?

AI Implementation and Change Enablement are billed as fixed-fee implementations with flexible payment terms based on your procurement preferences. Once deployment is complete, many organizations transition to our Managed AI Services with quarterly billing for ongoing strategic support, Expert Requests, and AI Accelerators access. We'll work with your finance team to structure payment terms that align with your budgeting and approval processes.

What's the ROI of AI implementation?

ROI comes from two sources: productivity gains AND work quality improvements. AI-enabled employees deliver higher-quality outputs, better strategic thinking, more thorough analysis, clearer communication, and stronger creative solutions. They work 30-40% faster on knowledge tasks while simultaneously elevating quality. Additional ROI drivers include faster decision-making (real-time data analysis), reduced consulting spend (internal capability replaces external experts), improved employee satisfaction and retention, and competitive advantage from superior execution. Most clients see ROI within 6-12 months. We help you build the business case with industry-specific benchmarks.

Do you offer discounts for nonprofits or educational institutions?

Yes. We provide special pricing for nonprofits, educational institutions, and social impact organizations. Our mission is to democratize AI access, and we believe these sectors deserve support in building AI capabilities. Contact us to discuss nonprofit pricing, typically 20-30% off standard rates depending on organization size and mission alignment.
